Titus CRM vs ShiftCare: Which NDIS Software Is Right for You?

April 2026 · 10 min read

Choosing the right software platform is one of the most consequential decisions an NDIS provider will make. It affects how your team rosters shifts, writes progress notes, manages compliance, communicates with families, and ultimately delivers care. Two Australian platforms built specifically for NDIS providers are Titus CRM and ShiftCare. Both are solid options, but they take fundamentally different approaches to pricing, technology, and workflow design.

This is an honest comparison. We will tell you where Titus CRM is the stronger choice, and we will tell you where ShiftCare has genuine advantages. The goal is to help you make the right decision for your organisation, not to push you toward either platform.

Pricing: Flat Rate vs Per User

This is where the two platforms diverge most significantly, and it is worth understanding the implications at different team sizes.

ShiftCare uses per user pricing across three tiers. Basic starts at $9 per user per month, Standard at approximately $15 per user per month, and Premium (which includes eMAR, AI summaries, and the family portal) at around $25 per user per month. For a very small team of five to ten workers, this model is affordable and predictable.

Titus CRM uses flat rate pricing per organisation, starting at $199 per week. Whether you have 10 workers or 100, the price stays the same. There are no per user fees, no per seat charges, and no surprise invoices as your team grows.

The crossover point: at around 15 users on ShiftCare Standard ($15/user/month), your monthly cost reaches $225/month. By the time you have 50 users, you are paying $750/month. With Titus CRM, a team of 50 pays the same flat rate as a team of 15.

To be fair, ShiftCare Basic at $9 per user per month is genuinely cheaper for very small teams. A five person operation would pay $45 per month, which is hard to beat. But as your team scales, per user pricing becomes a real cost burden. Providers who plan to grow should factor in what their software bill looks like at 30, 50, or 80 workers, not just at their current headcount.

Where Titus CRM Wins

AI powered workflows across the platform. Titus CRM was built with AI at its core, not bolted on as a premium add on. Support workers dictate progress notes by voice and AI structures them into NDIS compliant documentation. The rostering engine suggests worker to client matches based on skills, availability, and location. Andy AI, the built in chatbot, answers staff questions about policies, procedures, and NDIS guidelines. These are not experimental features. They are production tools used by providers every day.

Flat pricing that rewards growth. As your team grows from 20 to 50 to 100 workers, your Titus CRM bill does not change. This makes budgeting straightforward and removes the perverse incentive to limit staff access to your CRM to keep costs down. Every worker, coordinator, and manager gets full access.

Built in phone system and SMS. Titus CRM includes Twilio WebRTC calling and SMS directly in the platform. Coordinators can call workers and clients from their browser, send SMS reminders, and maintain a complete communication history without switching to a separate tool. ShiftCare does not offer built in telephony.

Modern mobile first design. The Titus CRM mobile app is a Progressive Web App that loads instantly from any browser. No app store downloads, no waiting for updates to roll out through Apple or Google review. Workers open a link and start working. Updates are deployed in real time.

AI receipt scanning. Workers photograph receipts from participant outings or purchases and AI extracts the merchant, amount, date, and categorises the expense automatically. This removes manual data entry for expense tracking entirely.

Where ShiftCare Wins

Larger established user base. ShiftCare has been operating longer and has a significantly larger install base across Australian NDIS and aged care providers. This means more community knowledge, more peer references, and a more established support infrastructure. If you value choosing the platform that most of your peers are already using, ShiftCare has that advantage.

Third party accounting integrations. ShiftCare integrates directly with MYOB, Xero, KeyPay, and QuickBooks. If your organisation already relies on one of these accounting platforms and needs seamless two way data sync, ShiftCare has a meaningful head start here. Titus CRM supports CSV exports for payroll but does not yet offer native accounting integrations.

Full eMAR medication tracking. ShiftCare Premium includes a dedicated electronic Medication Administration Record (eMAR) system with medication schedules, administration logging, and alerts. For providers delivering significant medication support, particularly in SIL and aged care, this is a mature and purpose built feature. Titus CRM captures medication administration within progress notes but does not have a standalone eMAR module.

Job board for recruitment. ShiftCare includes a job board feature that helps providers find and recruit support workers. If recruitment is a constant challenge for your organisation, this is a practical addition that Titus CRM does not replicate in the same way.

Both platforms are actively developing new features. The comparison above reflects capabilities as of April 2026 and will evolve over time.

The Bottom Line

There is no objectively "best" NDIS software. There is the best software for your organisation's specific needs, team size, budget, and growth plans. ShiftCare is a proven platform with strong accounting integrations and a large user base. Titus CRM is a newer, AI first platform that offers flat pricing, built in communications, and automation that reduces manual work across your operations.

If you are evaluating both platforms, we recommend trialling each with your actual workflows. Both offer free trials. Pay attention to how your support workers feel about writing progress notes, how your coordinators experience the rostering process, and how the pricing model scales with your team's projected growth.
